As an event coordinator in the past – a job that I truly loved doing – I know first hand how much time can be spent organising and sorting the delegate list, name tags and the like. Don’t get me wrong… it was a task I always enjoyed, but nevertheless it could certainly be timely and rather tedious.
First I would design the name tag, then create a template, then change the name for each attendee. Alternatively, I could create a mail merge list in MS Word and use Avery labels to merge the list into printable name tags. Then of course I’d print them out, and either laminate them or slip them into badge holders.
Now with the advent of QR codes, all that has changed, and in a very exciting and engaging way!
Qrio.us has released an event management system that can make your event much more enriching and memorable.
Before your conference starts, you ask your attendees to download a small app onto their smart phone so they can scan QR codes and gain access to all kinds of goodies that will be relevant at your event. You also send them their pre-printed name tags that include an individual QR code for each person.
Your attendees rock up to your conference and see a QR code that says “Scan here to check in.”
(I guess that means you don’t even need to be there waiting at the front desk to welcome your guests if you’re too busy!)
Once the conference starts your delegates can scan QR codes on other attendee’s name badges to share and exchange their contact details, and save them to their phone. That includes their email address and website by the way!
As an event coordinator, you can keep track of the flow of activity using a special producer dashboard included in the app.
An automated badge generator is available that you can use to save time and effort. There’s no need to mess around with spreadsheets, word processors or custom badge printing machines. Not even any laminating required — which you have to admit, is costly!
Just download your badges as a PDF file and print them on standard 4″ x 3″ name badge templates – including Avery name badge templates – on your inkjet or laser printer. Too easy!
Cool sponsorship tools help you deliver greater value to your Sponsors by including them in the app – both on the web and on attendee smart phones.
Now you can access EventBrite, which is an ingenious system used to organise lists, spreadsheet costings and much more.
Attendee Activity Pages help promote your event before, during and after.
